Opportunity Details

Main Duties

Sales Ledger Function:

  • Request purchase order numbers for specific customers.
  • Download job sheets into customer folders for invoicing.
  • Print job sheets and prepare invoices.
  • Ensure timely and accurate sales invoicing.
  • Resolve customer queries, issuing documentation or credit notes as needed.
  • Conduct credit control to ensure timely debt payments.
  • Perform credit checks on new customers and set up accounts.
  • Accurately post data into the business accounts system.
  • Review weekly aged debtor reports and reconcile bank statements.

Purchase Ledger Function:

  • Manage order acknowledgements, chase outstanding orders, and update customers on delays.
  • Verify dispatch notes against purchase orders and update the system with PODs.
  • Process supplier invoices accurately, ensuring prices/quantities match orders.
  • Handle supplier queries, chasing documentation or credit notes.
  • Conduct preferred supplier checks and set up new accounts.
  • Accurately post data into the business accounts system.
  • Review weekly aged creditor reports and reconcile bank statements.

Operational Function:

  • Arrange direct parts delivery to customer sites via courier.
  • Add photos of unlisted parts to the system.
  • Schedule servicing visits with customers.
  • Take job bookings via phone or email.
  • Provide general customer support.

Key Qualifications & Skills

  • Computer literate (MS Office, Excel).
  • Experience with financial statements, reconciliations, and bookkeeping.
  • Familiarity with accounting systems (QuickBooks, Xero).
  • Strong written and verbal communication.
  • Experience in coordinating day-to-day operations.
