- Front-of-house and reception support: welcoming visitors, artists, participants, partners and hirers in a professional and inclusive way.
- Customer enquiries: responding to enquiries by phone, email, in person and through online channels, and directing people to the right team member where needed.
- Event and workshop administration: supporting bookings, attendance lists, registration, participant communications and follow-up information for UKCCA activities.
- Participant and community support: helping learners, families, community groups and artists access information about programmes, workshops and events.
- Venue hire and room booking support: assisting with room enquiries, availability checks, booking records and customer communications.
- Ticketing or event registration support: helping customers book places, confirm attendance and receive event information.
- CRM/database and record keeping: maintaining accurate customer, participant, partner and booking records in line with data protection requirements.
- Marketing and communications support: helping prepare customer-facing information, newsletters, social media updates or website content under supervision.
- Feedback and evaluation: collecting customer feedback after workshops, events or hires and helping summarise common themes for service improvement.
- Complaints and issue handling: supporting the team to respond to simple customer issues, escalating more complex matters appropriately.
- Accessibility and inclusion support: helping ensure customers, participants and visitors receive clear information and appropriate support to access UKCCA activities.
- General administrative support: assisting the Executive Producer and Learning and Participation Project Manager with routine administration, filing, correspondence and meeting preparation.
Skills required
- Genuine interest in customer service, administration, community arts, events or working with the public.
- Good communication skills, including confidence speaking to customers, colleagues, participants and visitors.
- Good organisation and attention to detail, including the ability to follow processes and keep accurate records.
- Basic IT skills, such as using email, Microsoft Office and online systems.
- Ability to work as part of a team, while also being able to complete routine tasks independently.
- Adaptability and problem-solving skills, especially when responding to customer enquiries or unexpected issues.
