You will work alongside the wider recruitment team to ensure candidate records and compliance documentation are accurate, complete and up to date. You will receive training while gaining practical experience in administration, CRM systems, data management, document control, customer service and compliance.

What You’ll Do

As a Business Administration Apprentice, your responsibilities will include:

● Supporting the candidate compliance and administration process from registration through to clearance.

● Checking and recording candidate documentation accurately.

● Carrying out administrative checks including identity and Right to Work documentation.

● Supporting the processing and recording of DBS checks and DBS Update Service checks.

● Requesting, recording and chasing employment references.

● Checking candidate employment histories and identifying missing information.

● Supporting the verification of qualifications, certificates and professional registrations.

● Updating candidate records and compliance information on the CRM/database.

● Ensuring documents are correctly named, dated, uploaded and stored.

● Monitoring document expiry dates and contacting candidates when information needs updating.

● Maintaining accurate and confidential candidate records.

● Supporting regular compliance and file audits.

● Producing and updating reports on outstanding compliance requirements.

● Communicating with candidates by telephone and email to request outstanding information.

● Working closely with Recruitment Consultants to provide updates on candidate progress.

● Responding to queries from schools, clients and internal colleagues.

● Escalating any concerns or discrepancies to the appropriate member of the team.

● Supporting the team with general business administration and office tasks.

● Following company procedures relating to data protection, confidentiality and safeguarding.

Training & Development

As part of the Level 3 Business Administrator Apprenticeship, you will develop practical skills across a range of business administration areas while gaining valuable workplace experience.

You will develop skills in:

● Business administration

● Document and records management

● Data entry and database management

● CRM systems

● Microsoft Office

● Email and telephone communication

● Customer service

● Organisation and time management

● Compliance administration

● Confidentiality and data protection

● Report preparation

● Planning and prioritising workloads

● Working with internal and external stakeholders

● Problem solving and identifying discrepancies

You will also work towards your Level 3 Business Administrator qualification alongside your practical workplace training.

What We’re Looking For

We are looking for someone who is keen to learn and develop their administrative skills.

Essential Skills

● Good attention to detail.

● Organised and able to manage multiple tasks.

● Good written and verbal communication skills.

● Comfortable using computers and learning new systems.

● Basic knowledge of Microsoft Office, including Word and Excel.

● Able to work accurately with confidential information.

● Reliable and able to meet deadlines.

● Confident speaking to people by telephone and email.

● Willing to learn and take responsibility for tasks.

Desirable

● Previous administration or office experience.

● Experience using Microsoft Office or CRM/database systems.

● Customer service experience.

● An interest in recruitment, compliance or business administration.

● GCSEs or equivalent in English and Maths.
