Key Responsibilities

Procurement & Supplier Liaison

· Raise and manage Solpeds for HSE and maintenance-related goods and services.

Database & Records Management

· Maintain and update maintenance databases, including service logs, emergency lighting tests, asset registers, Register of Statutory Compliance and other compliance documentation.

· Ensure accurate documentation of work orders, inspections, and maintenance schedules.

· Maintain, update and plan Health Surveillance requirements for the site.

· Maintain accident and incident database.

· File accident records, Accident book entries and investigation reports.

· Maintain records of energy usage, water usage and other environmental data.

· File and maintain waste records including ‘Skip tickets’, Transfer Notes, Consignment Notes and evidence of Registered Waste Carrier Licenses.

· Retain and track Take 5 booklets.

· Compile Toolbox Talk records, file and identify missing records.

· Compile SOR records and maintain the database.

· Maintain records of fire alarm testing,

Contract Administration

· Maintain a centralised contract register for all maintenance-related services.

Equipment & Machinery Inventory

· Maintain an up-to-date inventory of all site equipment and machinery.

· Support the registration and de-registration of industrial installations in line with regulatory requirements.

· Ensure all machinery records are compliant and accessible for audits.

Hired Resources Tracking

· Monitor and record the use of hired equipment, contractors, and temporary resources.

· Ensure proper documentation and return of hired assets.

Improvement Projects Support

· Provide administrative support for site improvement and maintenance projects.

· Assist with project documentation, scheduling, and reporting.

· Liaise with internal teams and external contractors to support project delivery.

Hrs will be 0730-1645 Mon-Thurs (Unless U18 then finish at 1600), Fri 0730-1230

Skills required

Skills & Experience Required

· Previous experience in an administrative role, ideally within facilities or maintenance.

· Strong organisational and time management skills with attention to detail.

· Excellent communication skills for supplier and stakeholder liaison.

· Proficiency in Microsoft Office Suite and database systems.

· Familiarity with procurement, contract management, and asset tracking.

· Ability to work independently and collaboratively within a team.

Qualifications required

To hold a minimum of Grade 4 in Maths and English GCSE
